Military Service and Deployment of Veteran and Military-Affiliated Students

  1. Notification and Documentation: Students must provide written notice of deployment or training orders to the Office of the Registrar and/or the Veteran Services Office as soon as possible, along with a copy of official military orders or an official letter from a commanding officer.
  2. Academic Options: Upon receipt of deployment or training notice, students may choose one of the following academic accommodations:
    1. Withdrawal with Full Refund: Students may withdraw from all courses, without academic penalty.
    2. Incomplete Grade Assignment: With instructor approval, students may receive an “Incomplete” grade and be allowed to complete coursework upon return, consistent with university policy on incomplete grades.
    3. Grade Assignment Based on Work Completed: If sufficient coursework has been completed, and with instructor agreement, a final grade may be assigned based on work completed to date.
    4. Course Continuation (if feasible): In cases of short-term training or duty (e.g., annual training), students may work with faculty to complete assignments remotely if consistent with course requirements, within a mutually agreed upon time frame that is completed within the current academic term.
  3. Readmission Rights: In accordance with the Higher Education Opportunity Act and USERRA: Students returning from active duty will be readmitted to the same academic program with the same academic status they had when they left, provided they notify the university of their intent to return within three years of completion of service (or two years if recovering from service-related injuries).
    No reapplication or readmission fee will be required.
  4. Financial Aid and VA Benefits: The Veteran Services Office will assist students in understanding how deployment affects their financial aid and VA benefits. Adjustments will be made in accordance with Department of Education and VA guidelines.
  5. Housing and Other Services: Students residing in residence halls will not be penalized for early termination due to military service. Support services, including counseling and academic advising, will remain available to returning students.
